Understanding roles and locations

3 min read·Updated July 2026

Access in Zenly answers two questions at once: what someone may do, which is their role, and where it applies, which is either your whole business or one branch. Get that pair right and the rest of this section is detail.

The five roles

Who does what
ROLES
Ownereverything, including other owners
Admineverything except owner changes
Location managerruns a branch: schedule, desk, staff
Front deskclients, sales, payments, bookings
Instructorreads their schedule and rosters

Most studios need two of these. A solo trainer is simply an owner. A gym with a reception adds front desk. Managers and instructors start earning their keep once you have a second room or a second branch.

Everywhere, or one branch

Every role someone holds is granted either org-wide or at one location. A front desk grant at Downtown lets that person run the Downtown desk and nothing else; the same role granted org-wide covers every branch. One person can hold several grants, which is how a manager at two branches works.

Single-location businesses can ignore this entirely. With one branch, org-wide and at-that-branch mean the same thing.

The org-wide exception

Two things are deliberately never branch-level: your catalog, the services, plans and groups you sell, and the audit log. Both belong to the business as a whole, so both need org-wide owner or admin authority. A location manager runs their branch; they don’t reprice your memberships.

Good to know
The exact reach of each role is in Who sees what, and where.
