How clients book and check in

Once a member has a login, the day-to-day runs itself: they book what their plan covers, cancel when life happens and check in when they arrive. Your desk only handles the exceptions.

Booking

Members pick a location their plan grants, then see only the sessions that plan covers. Booking commits the seat immediately, spending a credit or a visit from their allowance, so a member can never hold seats they aren’t entitled to use. Cancelling

They cancel from the same screen. Outside your cancellation window the credit comes straight back; inside it, the seat is released for the waitlist but the credit stays spent. The window is yours to set, and staff cancellations always refund. The full rules are in Handling cancellations and no-shows.

Checking in

When your org tracks attendance, a Check in button appears on the member’s booking as the session approaches: from half an hour before it starts until shortly after it ends. They tap it on arrival and your class page updates live. In automatic mode there is nothing to tap, because everyone booked already counts as attended.

Signing the terms

If a plan carries terms, the member finds them waiting in the portal and accepts or declines once. The record shows what they chose and when, and only they can answer.

Good to know
Nothing here is required. Staff can book, cancel and check in on a member’s behalf at any time, which is what keeps the front desk useful for the people who never open the app.
