Add and organize your clients
A client record is the person as your business knows them. Add one when someone walks in, calls, or signs up at the desk; a name is all you strictly need to start.
The details that matter
Beyond the name, the field that does the most work is the contact email, because it is what lets the person claim their portal login later. Phone, birthdate, address, a CPF or other document and free-form notes are all optional. A document is unique inside your org, so the same person can’t be created twice by accident.
One directory, many locations
Your client directory is org-wide: staff can find anyone, so the member who normally trains downtown is not a stranger at your second branch. Each client also has a home roster, the locations that count them as their own, which is what branch lists and reports lean on.
Being on a branch’s roster is not the same as being allowed to train there. Physical access comes from the plan they hold; see Understanding memberships and plans.
When someone leaves
Archive them. The record and its whole history stay, attendance, contracts and invoices included, and they drop out of your working lists. Nothing is deleted, because the past still has to add up in your reports.
