Add staff and set roles

Adding someone takes a name, an email and a role. Zenly works out whether they already have a login and does the right thing either way, so there is no separate account setup to chase.

Adding someone

Enter their name and email, then pick a role and whether it covers one branch or all.

If they are new to Zenly, they get an email with a link to set their password. Until they accept it, they simply can’t sign in yet.

If they already have a Zenly login, from another business or as a member, they are active right away and sign in with the password they already have.

An invitation can be sent again if it never arrived. Waiting a moment between attempts is expected, and the link expires on its own.

Who can grant what

Owners and admins hand out any role. A location manager can staff their own branch with front desk and instructor, which is the point of the role: they hire the weekend receptionist without waiting for you. Only an owner can make another owner.

When someone leaves

Deactivate them. Their access to your business stops immediately while their login, which is theirs and may be in use elsewhere, is untouched. Everything they did stays attributed to them in your records. Reactivate later and their roles come back.

Good to know
Zenly won’t let you remove the last owner, by role change or deactivation. Somebody has to be able to unlock the door tomorrow.
